A time attendance machine is the piece of hardware that records exactly when each employee starts and ends work, using something that cannot be shared. Not a paper sheet you sign, not a WhatsApp message to the supervisor, not a shared spreadsheet. A physical unit at a physical door, capturing a physical credential that belongs to one person.

In the UAE, this usually means one of four things: a fingerprint, a face, a palm, or a personal RFID card. The machine converts what it captures into a mathematical template, matches every subsequent scan against that template in under a second, and sends the resulting timestamped punch to the software that turns it into payroll data.

That is the whole idea. The rest is detail, and the detail is what decides whether the system works on your site or does not.

What a "punch" actually is

When an employee arrives, they present their credential to the terminal. The terminal does three things:

  1. Captures the fingerprint, face image, palm pattern or card ID.
  2. Matches the captured data against the templates enrolled in its database. If a match is found, it identifies the employee.
  3. Records a timestamped punch, the employee ID, the exact time, the terminal, and whether it was a check-in or check-out.

That record is stored locally on the terminal and pushed to the central attendance software as soon as the network is available. If the internet is down, the punch is cached and syncs later, so a short outage never loses attendance data.

What the machine does not store

A common concern: "does the machine store my fingerprint?" The honest answer is no, but it needs unpacking.

The terminal captures an image of the fingerprint at enrolment. It runs an algorithm across that image to extract the ridge pattern as a set of numerical points, a template. The original image is then discarded. The template is stored, but it cannot be reversed into a recognisable image; it is only useful for comparing against future scans of the same finger.

On Suprema terminals, the template itself is protected inside a CC EAL6+ certified secure element, which is the same class of hardware protection used in bank chip cards and mobile SIM cards.

The same principle applies to face and palm recognition. The image is converted to a mathematical signature, then discarded. This is worth telling your workforce clearly at rollout, there is no photograph of anyone's face sitting on a company server.

The four common credentials

Credential Best for Weakness
Fingerprint Offices with clean hands, cost-sensitive rollouts Fails on worn or wet hands
Face Hygiene-sensitive sites, busy entrances, worn fingerprints Struggles in direct sunlight
Palm Construction, warehouse, kitchen, worn or gloved hands Fewer models available
RFID card Visitors, contractors, mixed workforces Can be handed to a colleague

Most modern terminals support two or three of these on the same unit. During enrolment, we register a primary credential and a backup for every employee, so a cut finger or a lost card never means being locked out at the start of a shift.

How the record reaches your payroll

The attendance software behind the terminal is where the useful work happens. It takes the raw stream of timestamped punches and:

  • Groups them into shifts, based on your configured shift rules.
  • Applies grace periods, break allowances and late-mark policies.
  • Calculates overtime by UAE Labour Law rules, weekday, rest day and public holiday rates.
  • Handles Ramadan hours automatically for the fasting period.
  • Adjusts for approved leave and public holidays.
  • Exports a payroll-ready file with worked hours, overtime, late deductions and absences already calculated.

Your accountant opens that file on payroll day and it drops into the WPS SIF process. No retyping, no rounding by hand, no arguments about who was late on the 14th.

What actually breaks in a paper system

Before installation, most UAE companies discover the same three costs after they automate:

  • Buddy punching: one employee signs in for another. Industry studies put the cost at up to 2.2% of gross payroll. On a AED 200,000 monthly payroll, that is AED 4,400 leaving the door.
  • Rounded-up hours: ten minutes late here, fifteen early there. Across 40 staff, that is 100+ unworked hours a month.
  • Two days of monthly retyping: the accountant copies timesheets into the payroll sheet by hand, and still makes mistakes that trigger staff disputes.

A properly installed time attendance machine ends all three on installation day.
