For a UAE SME with 5 to 100 employees, the attendance-system market is confusing. Enterprise vendors quote AED 30,000+ solutions that make no sense at your scale. Cheap online listings show AED 500 boxes that will fail on your first tricky payroll month. Between those two, there is a right answer, and it varies with what you actually run.

This piece walks through five common SME profiles with realistic recommendations.

Profile 1: Small office, 5–20 people, one location

A trading company, professional services firm or small agency with a single office, mostly-salaried staff and clean-hand office work.

An architecture practice, a marketing agency, a boutique consultancy, the size where paper timesheets have just become impossible.

Indicative price: AED 4,500–8,000 installed depending on terminal choice. Software from AED 200–400 per month.

Profile 3: Multi-shift retail or F&B, 20–80 people, one outlet

A restaurant, a shop, a small clinic with split shifts and hourly staff.

Recommendation: Face recognition terminal (ZKTeco SpeedFace-V5L), contactless is important around food and clients. Software configured with split-shift rules, hourly-staff pay rates, weekend and public holiday multipliers.

Why: F&B and retail break office attendance rules. Split shifts around a mid-day close, staff paid by the hour rather than salary, weekend rate differentials. A generic terminal at the door is fine, the software configuration is what earns its keep.

Indicative price: AED 5,000–8,000 installed.

Profile 4: Small contractor or workshop, 20–100 workers, mixed hand condition

A contracting SME, a workshop, a small manufacturing operation. Fingerprints worn from work, mixed office and site staff.

Recommendation: IP-rated ZKTeco terminal at the gate (SpeedFace-V4L Outdoor or similar), palm recognition option for workers whose fingerprints are gone. Attendance software with shift-crew configurations and per-project cost allocation.

Why: A regular indoor terminal in a workshop fails within a season through dust and heat. Palm recognition solves the worn-fingerprint problem that defeats standard fingerprint readers on manual-labour workforces.

Indicative price: AED 6,000–10,000 installed for a single gate.

Profile 5: Small multi-branch chain, 3–5 outlets, 30–100 total staff

Two or three shops, a small restaurant group, a chain of small clinics.

Recommendation: Consistent face-recognition terminal at every outlet, cloud-hosted attendance software so head office sees all outlets in one dashboard. Manager mobile app so you get alerted if an outlet does not open on time.

Why: Consistency matters, the same terminal at every outlet means one training session for staff and one support arrangement. Cloud hosting means you do not need a server in one of the shops. The head-office dashboard is the actual value: seeing every outlet live from your phone.

Indicative price: AED 15,000–25,000 total for a three-outlet installation.

What SMEs should not overbuy

Three enterprise features that get sold to SMEs and rarely justify the cost:

Server-hosted on-premise software. Unless you have a data-residency policy that requires it, cloud hosting is simpler and cheaper. On-premise means maintaining a server, backups, and a Windows licence for a workload that fits comfortably in cloud.

Enterprise-tier access control. Full access-control platforms with per-door controllers, request-to-exit sensors, door contacts and central controllers make sense for a bank. For an SME with three doors, the attendance terminal driving each door lock is usually enough.

Suprema CC EAL6+ certified terminals in a normal office. Suprema builds beautiful hardware, but the certification premium makes sense for regulated firms in DIFC or banks. A 30-person office does not need it.

What SMEs should not underbuy

Two places where saving money will cost you later:

Grey-market hardware without regional warranty. The AED 500 terminal from an unbranded online listing might work fine. When it fails 14 months in, the "warranty" is nowhere and the replacement cost is another AED 500. Genuine hardware with UAE-valid warranty costs more upfront and less over three years.

Machine without software. Buying a fingerprint terminal that outputs a CSV of raw punches, and then trying to build shift rules and overtime in Excel yourself. This ends with your accountant doing the two-day monthly retype anyway, you have automated the arrival but not the accounting.
